These Terms and Conditions (“Terms”) govern the enrolment and participation of your child/children in Pedal Camp, operated by Lifecycles Byron Bay. By completing the registration and payment process, you, as the parent or legal guardian, acknowledge that you have read, understood, and agree to be bound by these Terms, the Waiver of Liability, and the Cancellation & Refund Policy.
Registration: All participants must complete the official online registration form.
Payment: Full payment of the camp fee is required at the time of booking to secure a spot. Your child’s enrolment is not confirmed until full payment is received.
Pricing: Camp fees are as advertised on the Lifecycles Byron Bay website (https://lifecyclestravel.com/pedal-camp/) and may vary by camp duration and level.
Discounts: Any applicable early bird or sibling discounts will be applied at the time of booking.
Age: Pedal Camp is open to children aged 5 to 16 years. Participants must be within the specified age range for the camp level they are enrolling in.
Fitness: Participants must have a level of fitness appropriate for the chosen camp level and be able to participate in all activities. It is the responsibility of the parent/guardian to assess their child’s suitability.
Equipment:
Participants must arrive with a properly fitted, Australian Standards approved cycling helmet, which must be worn at all times while riding.
Participants must bring a bicycle in good, safe working order, appropriate for their size and the camp activities.
Bike and helmet hire options are available for an additional fee; this must be arranged at the time of booking.
Clothing & Essentials: Participants must bring a water bottle, snacks/lunch, sun-safe clothing, and enclosed shoes suitable for cycling.
Disclosure: Parents/guardians must provide full and accurate medical information, including any allergies, medical conditions, or medications, on the registration form. This information is critical for the safety and well-being of your child.
Emergency Medical Consent: By signing the Waiver of Liability, you grant Lifecycles Byron Bay staff permission to seek necessary medical attention for your child in the event of an emergency, including transportation to a medical facility, if you cannot be reached. You also consent to trained staff administering basic first aid.
Code of Conduct: Participants are expected to behave respectfully towards instructors, fellow campers, and public property. They must follow all instructions given by camp leaders immediately.
Safety Adherence: Participants must adhere to all safety rules and procedures outlined during daily and activity-specific safety briefings.
Disciplinary Action: Lifecycles Byron Bay reserves the right to remove a child from the camp, without refund, for serious or repeated behavioural issues that compromise the safety, enjoyment, or well-being of other participants or staff. Parents/guardians will be contacted immediately in such instances.
The camp leader, employees, agents, and contractors of Lifecycles Byron Bay have the full authority to make decisions regarding safety, activities, and participant conduct. All participants must obey their directions.
By enrolling your child, you acknowledge that cycling is a recreational activity that carries inherent risks. You agree to the terms of the Waiver of Liability, which you must read, understand, and sign on behalf of your child as part of the registration process. This document outlines your release of claims, waiver of liability, and assumption of risk.
All cancellations and refund requests are subject to the terms outlined in the separate Cancellation & Refund Policy. You must read and understand this policy before booking.
By signing the Waiver of Liability, you agree to allow your child’s name, results, photographs, video, multimedia, or film likeness to be used for legitimate promotional and marketing purposes by Lifecycles Byron Bay.
Lifecycles Byron Bay is not responsible for any lost or stolen personal belongings. Participants are advised not to bring valuable items to camp.
These Terms and Conditions shall be governed by and construed in accordance with the laws of New South Wales, Australia.
Lifecycles Byron Bay reserves the right to amend these Terms and Conditions at any time. Any changes will be communicated via our website or direct email.
By proceeding with registration, you confirm that you are the parent or legal guardian of the named participant(s), have the legal authority to enter into this agreement, and have read, understood, and agree to all the terms and conditions set forth herein, as well as those in the Waiver of Liability and Cancellation & Refund Policy.
This policy outlines the terms and conditions regarding cancellations and refunds for participation in Lifecycles Byron Bay’s Pedal Camp. By registering your child for Pedal Camp, you agree to the terms set forth below.
1. Participant Cancellation
More than 30 days prior to camp start date:
A full refund will be issued, minus a $25 administration fee per child.
Alternatively, you may opt for a full credit towards a future Pedal Camp, or a store credit at Lifecycles Byron Bay, both valid for 12 months from the original camp start date, with no administration fee.
Between 14 and 30 days prior to camp start date:
A 50% refund of the camp fee will be issued.
Alternatively, you may opt for a full credit towards a future Pedal Camp, or a store credit at Lifecycles Byron Bay, both valid for 12 months from the original camp start date.
Less than 14 days prior to camp start date:
No refund will be issued.
A 50% credit towards a future Pedal Camp or a store credit at Lifecycles Byron Bay may be offered at the discretion of Lifecycles Byron Bay, both valid for 12 months.
No-Shows or Early Departure:
No refunds or credits will be issued for participants who do not attend the camp (no-show) or who leave the camp early for any reason.
2. Medical Cancellations
In the event of a participant’s illness or injury preventing attendance, a full refund or credit (minus the $25 administration fee) may be considered upon presentation of a valid medical certificate. This request must be made prior to the camp start date.
3. Camp Cancellation by Lifecycles Byron Bay
Insufficient Registrations:
Lifecycles Byron Bay reserves the right to cancel a camp due to insufficient registrations. In such an event, all registered participants will be notified at least 7 days prior to the camp start date, and a full refund or full credit towards a future camp will be offered.
Adverse Weather Conditions:
Safety is our top priority. In the event of severe or unsafe weather conditions (e.g., heavy rain, thunderstorms, extreme heat) that necessitate the cancellation of a camp day or the entire camp, Lifecycles Byron Bay will:
Endeavour to reschedule the affected day(s) if feasible.
If rescheduling is not possible, a pro-rata refund for the cancelled day(s) will be issued.
Alternatively, a pro-rata credit towards a future Pedal Camp or a store credit at Lifecycles Byron Bay will be offered.
Parents will be notified as early as possible regarding weather-related cancellations.
Unforeseen Circumstances:
In the rare event of a camp cancellation due to unforeseen circumstances beyond our control (e.g., natural disaster, government directives), participants will be offered a full refund or a full credit towards a future Pedal Camp or a store credit at Lifecycles Byron Bay.
4. How to Request a Cancellation or Credit
All cancellation or credit requests must be submitted in writing via email to [byronbay@lifecyclesbyronbay.com]. Please include your child’s name, camp dates, and the reason for the request.
5. Refund Processing
Refunds will be processed within 14 business days of the approved cancellation request.
